PROPERTY MANAGER

WHAT YOU'LL DO
1. Operational Leadership
- Manage daily property operations to ensure all departments function effectively.
- Oversee operational execution across: Front Office, Housekeeping, Night Audit, Food & Beverage, and, Facilities and maintenance coordination
- Conduct daily site inspections including FOH, BOH, apartments, public areas, and operational compliance areas.
- Ensure all operational SOPs are implemented and adhered to consistently.
- Coordinate daily operational communication between departments.
- Serve as the primary operational contact for Head Office teams including Operations, HR, Finance, Guest Experience, Maintenance, and Reservations.
- Provide operational leadership.
2. Guest Experience
- Ensure exceptional guest experience across all areas of the property.
- Manage guest interactions and resolve complaints promptly and professionally.
- Escalate complex guest issues to the Head Office where required.
- Monitor guest feedback platforms and implement corrective actions where service improvements are required.
- Ensure service standards align with the Totalstay Brand.
3. Financial Oversight & Cost Control
- Monitor operational costs including labour, consumables, and inventory.
- Ensure departmental spending aligns with approved budgets.
- Oversee stock management including: Linen, Consumables, and F&B inventory.
- Verify supplier deliveries and ensure accurate stock recording,
- Conduct monthly stock-takes and investigate discrepancies.
- Review and approve operational documentation including petty cash and procurement submissions.
- Ensure labour allocation aligns with operational demand and BCEA compliance.
4. Workforce Management & HR Compliance
- Manage staff scheduling and rosters to ensure operational coverage while complying with the Basic Conditions of Employment Act (BCEA).
- Ensure accurate daily attendance tracking, timesheets, overtime records, and leave submissions.
- Conduct return-to-work interviews, informal counselling, and first-line disciplinary processes in accordance with the Totalstay Disciplinary SOP.
- Ensure disciplinary procedures follow procedural fairness principles required under the Labour Relations Act (LRA).
- Maintain employee records and ensure HR documentation compliance including: Policy sign-offs, Training registers, and Employee file documentation
- Escalate HR risks or misconduct matters to Head Office HR where required.
5. Reporting & Data Accuracy
- Prepare accurate weekly operational reports including: Occupancy levels, Guest feedback trends, Labour cost trends, Linen and inventory variance, Consumables usage, and Maintenance issues.
- Ensure operational data submitted to Head Office is accurate and submitted within required timelines.
- Ensure there are zero avoidable errors in operational reports or payroll inputs.
6. Safety, Maintenance & Compliance
- Ensure the property operates in compliance with relevant legislation including: Basic Conditions of Employment Act (BCEA), Labour Relations Act (LRA), Occupational Health and Safety Act (OHSA), and Compensation for Occupational Injuries and Diseases Act (COIDA).
- Ensure maintenance issues are logged and tracked through the appropriate systems.
- Conduct regular safety checks and ensure hazards or incidents are escalated appropriately.
- Ensure Injury on Duty (IOD) incidents are reported according to COIDA requirements.
- Ensure fire safety procedures and emergency protocols are in place and understood by staff.
7. Leadership & Culture
- Promote a positive workplace culture aligned with Totalstay values.
- Conduct daily staff briefings and ensure effective communication across all operational departments.
- Support training initiatives and staff development.
- Encourage accountability and high service standards across teams.
- Provide leadership support to department supervisors.
8. Flexibility & Portfolio Mobility
- Support operational oversight across the Totalstay property portfolio where required.
- Be willing to travel between properties or provide operational support when necessary.
- Maintain flexibility to respond to operational requirements including weekends and public holidays where necessary.
WHAT WE'RE LOOKING FOR
- Previous experience in the hotel industry with a strong knowledge of Cape Town.
- Exceptional interpersonal skills to enhance service standards throughout the operation.
- Excellent communication skills with staff and stakeholders at all levels.
- Proven track record of delivering outstanding guest service and effective time management.
- Ability to organise, plan ahead, and manage workload efficiently.
- A collaborative and self-driven individual who can work both independently and as part of a team.
- Ability to manage and motivate a team of staff members.
- Capability to work effectively in a fast-paced and innovative environment.
- Excellent computer skills, specifically using Google and Internet applications.
- Ability to maintain a positive and professional demeanour in all situations.
- Creative problem-solving skills and the ability to find solutions when challenges arise.
