As a front desk receptionist, you will be responsible for managing the front desk, greeting and assisting visitors, handling incoming calls, and providing administrative support across the organisation.
You'd be an excellent fit for this role if you have:
- National Senior Certificate or equivalent
- Previous experience in a similar role is preferred but not always required
- Training in administrative procedures or office management can be beneficial
- Excellent communication, guest service and time management skills
- Proficiency in using office equipment (e.g., phone systems, printers)
- Organisational and multitasking abilities
- Attention to detail and accuracy in administrative tasks
- Customer service orientation
- Knowledge of basic computer applications
- Ability to organise, fore-plan, and handle stressful situations with calmness and professionalism
- A team player and a self-starter, yet able to work independently
Your roles and responsibilities:
Your primary duties will involve:
- Greeting Visitors: Welcome guests in a professional and friendly manner, direct them appropriately and notify staff of visitor arrivals.
- Answering Calls: Manage incoming calls, redirect them as needed, take messages, and provide basic information to callers.
- Administrative Support: Assist with clerical tasks, such as photocopying, filing, data entry, and managing office supplies.
- Handling Correspondence: Sort and distribute mail, emails, and packages, and handle outgoing mail as required.
- Maintaining Reception Area: Ensure the reception area is tidy and presentable, with all necessary stationery and materials stocked.
- Problem Resolution: Address inquiries and resolve issues promptly and professionally, escalating when necessary.
- Attend to ad hoc requests from your manager or senior management.
